Thank you for using The Hub App (“The Hub”). This Privacy Policy outlines how we collect, use, disclose, and protect your personal information in accordance with the Australian privacy laws. By using The Hub you consent to the practices described in this policy.

1.     Collection of Personal Information

Information You Provide: We collect personal information directly from you when you register an account, use certain features of The Hub, or communicate with us. Users registering with the The Hub App must give their consent at the time of registration to provide us with their own name and their email address.Registrants who do not give this consent cannot provide us with their personal information and cannot login to the Product.Once registered, we may collect other information you voluntarily provide, for example other personal information you supply in your profile such as your phone number, address or profile picture,

Automatically Collected Information: We may collect certain information automatically when you use The Hub. This may include your IP address, device information, browser type, operating system, and usage data.

2.     Use of Personal Information

2.1. We may use the personal information you provide to operate, maintain, and improve The Hub and its features. This includes providing customer support, personalising your experience, and communicating with you.

2.2. We may use your contact information to send you administrative messages, updates, and other information related to The Hub. You may choose to opt-out of receiving such communications.

3.     Disclosure of Personal Information

3.1. We do not sell, rent, or trade your personal information to third parties.

3.2. We may disclose your personal information if required by law or in good faith belief that such disclosure is necessary to comply with legal obligations, protect our rights or property, investigate fraud, or ensure the safety of our users.

3.3. Trusted third-party partners: We may engage third-party service providers to assist in providing The Hub or performing related services. These support our business activities such as our administration and communication functions, our support tickets, and our billing services. These service providers are contractually obligated to protect your personal information and may only use it for the purposes specified by us.

4.     Advertising

4.1. We do not allow advertising within The Hub. We do not use your personal information to deliver targeted advertisements or promotions from third parties.

5.     Private Groups

5.1. The Hub allows users to join private groups where they can share content with other group members. It is important to note that any information or content shared within these private groups may be visible to other group members.

5.2. While we strive to maintain the privacy and security of the information shared within private groups, we cannot guarantee the actions or behaviour of other group members. Therefore, it is essential that users exercise caution and discretion when sharing personal or sensitive information within these private groups.

5.3. We do not disclose or share the information shared within private groups with any external third parties, except as required by law or with the explicit consent of the user.

6.     Personal Profile Information and Group Settings

6.1. The Hub allows users to set up their profile with personal information. Users have the option to control which profile information they share by enabling or disabling specific settings.

6.2. In addition, within private groups, the administrator of the group can determine which profile information is shared among group members. Your personal profile information will only be shared within a group if you have enabled the corresponding profile settings and if the group administrator has selected to display that information within the group.

6.3. We encourage users to review and adjust their profile settings to control the information they share within private groups. It is important to note that once information is shared within a group, we cannot guarantee its confidentiality or how other group members may use or further disclose that information.

7.     Chat Function within Private Groups

7.1. The Hub provides a chat function that enables users to communicate within their private groups. The chat feature allows for real-time messaging and information sharing among group members.

7.2. Any messages or content shared within the chat function of private groups may be visible to other group members. Users should exercise caution and refrain from sharing sensitive or personal information that they do not wish to be disclosed within the group.

7.3. We recommend that users familiarise themselves with the group's rules and guidelines set by the group administrator regarding the appropriate use of the chat function. While we strive to maintain the privacy and security of the chat feature, we cannot guarantee the actions or behaviour of other group members or the confidentiality of the shared messages.

7.4. We do not monitor the content of private group chats unless required by law or to enforce our Terms and Conditions. We reserve the right to review and moderate the chat content to ensure compliance with our policies if reports of misconduct or illegal activity are made known to us.

8.     Data Security

8.1. The Hub is committed to data security. We implement strong and thorough security measures to protect your personal information from unauthorised access, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee its absolute security.

8.2. If you become aware of any unauthorised access to your account or any other security breach, please notify us immediately via email at hi@the-hub.app.

8.3. In the unlikely event of a security breach, The Hub will notify affected account holders so immediate action can be taken to keep your data safe. We follow the guidelines of the Office of the Information Commissioner and Australian Cyber Security Centre in responding to and reporting data and security breaches.

9.     Data Retention

9.1. We will retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy unless a longer retention period is required or permitted by law.

9.2. We will keep any personal information we collect from registrants long as they are registered users. If a user cancels their registration or it otherwise lapses, we will only keep their personal information for the purposes of sending the user information regarding The Hub or other products and services if they agree to receive this information. Personal information is otherwise deleted or destroyed after six months.

10.  Account Deletion or Deactivation

10.1. Users have the right to request the deletion or deactivation of their account. Upon receiving such a request, we will promptly take reasonable steps to delete or deactivate the account, subject to the following provisions:

10.2. Data Deletion: We will delete or anonymise the personal data associated with the user's account to the extent possible. This includes removing their personal information from our active databases, backups, and any other systems or platforms where their data may have been stored. However, please note that it may not be technically feasible to remove all traces of the user's data, and residual copies may remain in our backups or archives for a limited period.

10.3. Retention of Anonymised or Aggregated Data: We may retain anonymised or aggregated data that does not identify the individual for legitimate business purposes, including but not limited to statistical analysis, improving our services, or complying with legal obligations. Such data will not be personally identifiable and will not be used to directly or indirectly identify an individual.

11. Staff Training and Data Access

11.1. We are committed to protecting the privacy and security of your personal information. Our staff members are trained on privacy best practices and the handling of personal data.

11.2. Access to Private Data: Our staff members may access your personal information only for legitimate business reasons, such as providing customer support or addressing technical issues. Access is granted only to the extent necessary to perform their specific job responsibilities.

11.3. Confidentiality and Security: We maintain strict confidentiality and security protocols to ensure that staff members handling data are aware of their obligations and responsibilities. Our staff members are bound by confidentiality agreements and are required to comply with applicable privacy laws and regulations.

11.4. Limitations on Data Access: We restrict access to data to authorised personnel who require access for valid business purposes. We do not grant access to data for any other purposes, including personal use or unauthorised disclosure.

11.5. Monitoring and Compliance: We regularly monitor staff access to data to detect and prevent any unauthorised access or misuse. Any violations of our privacy and security policies are subject to disciplinary measures.

12.1. You have the right to access, update, correct, or delete your personal information held by us. You may exercise these rights by contacting us using the contact information provided below, and/or editing your information on the app itself.

13. Transfer of your data

13.1. Your personal information is uploaded to and kept on servers that we maintain or that are maintained by third parties that comply with strict contractual privacy obligations. It is not otherwise transferred internationally except where a copy is sent to the user themselves at their request.

14. Changes to this Privacy Policy

14.1. We reserve the right to update or modify this Privacy Policy at any time. Any changes will be effective immediately upon posting the revised Privacy Policy. We encourage you to review this Privacy Policy periodically for any updates.
